  1. Introduction

At Think In Activity we treat your personal information with the same degree of care and respect that we would expect for our own. This begins with being transparent about what we will hold and how we use it. This privacy policy sets out how we collect and process your personal data, the purposes for which we use these data, the legal grounds for its processing, how we will keep your data secure and your rights in relation to such data.

If our data processing practices change in the future then we will update this policy to reflect this.

  1. Purposes of processing

When you become a student of ours we will take your contact details including your name, email address and phone number. We will use these details to communicate with you and organise the lessons that you have contracted with us for.

We will keep a record of the dates of your lessons and notes of what occurred in each lesson. This may include information about any relevant health details that you choose to share with us and which we need to take account of in the design of the lessons that we offer to you.

Your information will be securely stored on password protected systems and will only be accessible by your teacher.

  1. Our lawful grounds for processing your personal data

Our legal grounds for processing your data are for the performance of our educational contract with you.

We need this information to arrange our classes with you, understand your requirements, record your progress, and to design appropriate, personalised lessons tailored to your needs and situation.

We are also required to keep accurate records for insurance purposes and to comply with the professional code of conduct and ethics set out by the bodies that regulate us, the ITM Teachers Association and the Complementary and Natural Healthcare Council (CNHC).

  1. Transfer of your data to third parties

We will not share your details with third parties for marketing purposes except with your express consent.

We may share your personal data with service providers who provide IT services to us, for instance to store our records, or to provide us with email and internet services. We will only use IT providers who operate under GDPR or who, if they are based outside of the EEA, are members of the Privacy Shield Framework.

We may also share your contact information with providers of teaching premises, where those premises use an electronic booking system. This will be for the purposes of sending you a reminder of your upcoming class, or for contacting you at short notice in the event of an emergency.

  1. Data retention – how long will we keep your data

To comply with the CNHC regulations we must retain records of your lessons for a period of 8 years from the date of your last lesson. In the case of a minor this would be 7 years after their 18th birthday.

  1. Your rights

Your personal information is processed and protected in accordance with GDPR. GDPR provides you with certain rights in relation to your personal data. You may ask for access to your personal information, request rectification and erasure if processing is inconsistent, incomplete or inaccurate. Your rights are set out in more detail at:

  1. Complaints

We are committed to protecting your personal data but if for some reason you are not happy with any aspect of how we collect and use your data, you have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection issues (www.ico.org.uk).
